Overview

Orgsphere is a platform built to integrate legacy systems, payrolls, request approvals, performance review management, and employee records in one place. It helps HR managers handle employee requests efficiently, covering leave applications, expense approvals, appraisals, announcements, and training management all under one unified system.

The Problem

Before Orgsphere, staff members and employees could not easily make requests, verify their statuses, or get fast approvals. Managers also struggled to monitor and track their team members' requests. The majority of these requests were processed manually using paper forms, leading to data security risks, slow processing turnarounds, and missing documentation.

The Solution

I designed an intuitive, responsive web and mobile application that handles request management for employees, managers, and HR teams. The final platform standardizes approval workflows to increase corporate transparency and automatically channels financial requests to the appropriate departments for validation.

The Goal

Build a digital workspace that aims to:

  • Track and manage employee requests seamlessly
  • Standardize the multi-tier request approval flow
  • Keep records of employee performance and appraisals
  • Provide a comprehensive set of management tools for the HR team

Want a simple, transparent way to file requests (leave, discounts, expense reimbursement) and track their progress in real time.

Need a clear dashboard to review pending requests, compare team availability, and approve or reject submissions quickly.

Require an automated portal to oversee compliance, manage employee profiles, track approvals, and manage performance logs.
Design Process — Research

I set out to discover how HR managers, employees, and line managers interact with existing HR portals. Here are the primary pain points, frustrations, and expectations gathered during user research:

User Personas

I created key user personas that reflect the needs, goals, and frustrations of users. These personas helped guide my design decisions and kept the focus on solving the right problems.

I structured the application layout to make navigation clean, organize modular HR permissions, and reduce cognitive load for users.

Outcome

The Orgsphere platform is a streamlined key HR processes by digitising request approvals, performance management, and employee records. Replacing paper-based workflows with a centralised platform improved communication, reduced processing time, and gave both employees and HR teams better visibility into everyday operations.

Reflection

Working on this project gave me valuable experience designing a large scale HR system with multiple user roles and interconnected workflows. It pushed me to think beyond individual screens and focus on how different parts of the product fit together to create a consistent user experience. As the platform continues to evolve, additional features, including payroll management, are planned to support more of the organisation's HR operations.
