Managing a gated community can be complex. Current systems often face issues such as:
- Difficulty controlling secure entry and exit
- Fragmented communication between residents and estate management
- Inefficient safety protocols and coordination
Design an intuitive mobile app that:

- Improves communication between residents, security, and management
- Strengthens estate safety through clear and efficient workflows
The final design focused on creating a user-friendly, structured, and visually appealing platform. Key features include:
- Access Control: generate and share secure entry codes in real time
- Billing & Payments: seamless fee collection and tracking
- Community Collaboration: better communication between residents and the estate board
- Safety & Security: stronger protocols for entry, exit, and incident reporting
- Estate Secretariat/Board Tools: improved productivity and transparency
Information Architecture
Since the client had already provided a Product Requirements Document (PRD), I began by creating the information architecture. This helped me translate the requirements into a clear structure for the app. I mapped out the main modules and user flows, then refined the architecture with feedback from the client to ensure it aligned with both user needs and project goals.
Wireframe
After finalizing the information architecture, I created low-fidelity wireframes to visualize the layout and user flows. These wireframes helped me quickly test different ideas, refine navigation, and ensure the design aligned with the client's requirements before moving into high-fidelity screens.
High Fidelity
These final screens bring the core flows to life, translating research and wireframes into a clear, functional product.

One challenge I faced was the client's familiarity with UI/UX design. He suggested added elements from other apps he had seen, which led to frequent requests for new features. Instead, I had an open conversation with him about the impact of adding too many features on usability and delivery. I also introduced regular check-ins and feedback sessions so we could align early, avoid scope creep, and stay focused on the project goals.
This project helped me strengthen my time management and boosted my confidence in communicating design decisions. I learned the value of setting boundaries, explaining design choices clearly, and balancing creativity with practical needs. Overall, this experience made me more confident in managing expectations and delivering quality designs on time.
As the platform evolves, the client plans to expand EstateIQ beyond estate management by introducing additional convenience services. Future updates will include airtime and data purchases, allowing residents to access everyday digital services directly within the app. These additions aim to make EstateIQ a more comprehensive platform for both community management and daily utilities..
